After seven years of coordinating architecture, interior design, and construction projects, I'm tired of hearing that small clients don't matter to big firms. I made that assumption myself once. It cost me time, money, and one very awkward phone call to a client who realized I hadn't measured his existing wall condition correctly. Here's what I think now: big firms don't ignore small clients. The real problem is when anyone treats a small requirement as if it's a small problem.
The Mistake That Started This Checklist
In 2017, my first year as a project coordinator, I sent a millwork drawing with one wrong dimension. It looked fine on my screen. The result was 58 pieces of interior paneling that didn't fit. Eight thousand four hundred dollars, straight to the dumpster. That's when I learned that the dimension that seems too small to check is the dimension that eats your budget.

Here's the part I got wrong: I thought 'huge company' meant 'huge projects only.' Gensler does plenty of large work, but the firm's portfolio includes all kinds of projects. Company size gives a firm tools, not a free pass. Those tools mean a small project can get access to code experience, material knowledge, and quality-control systems that a smaller practice might not have. That's not a luxury. That's a backstop.
I've also seen procurement managers assume that a big firm's systems will handle small things automatically. That's not true. The bigger the firm, the more intentional the handoffs have to be. From the outside, a large firm looks like polished renders and big-name clients. The reality is a lot of checking, coordinating, and boring conversations about valves.

If a global firm can put that kind of attention into a house, a local contractor can take a $3,000 repair seriously. The size of the budget shouldn't decide whether you care.

I used to treat 'screen protector' as an afterthought in a spec. I was wrong. The layer you don't notice is the layer that keeps everything else working. Same with a phone. Same with a building. Same with a small client.
How to Patch a Hole in the Wall (And Why It's a Small-Client Problem)
People search 'how to patch a hole in the wall' more than I expected. I did too, after a tenant's chair went through a drywall panel in 2023. The internet will tell you to buy spackle, apply it, sand it, paint it. That works for a small nail hole. It doesn't work when there's a pipe behind the wall or an electrical line running through the same bay.
The right first step is to ask what's behind the wall. Is there a stud? A junction box? A check valve? If you skip that, you're not patching a hole. You're creating a future problem. But What About the Client With a $10,000 Scope?
You could say: 'Of course you think big firms care about small clients. You've never tried to hire one with a $10,000 scope.' Fair. I'm not suggesting every firm should accept every project. A global architecture firm has overhead, and overhead is real. But there's a difference between 'this project doesn't fit our size' and 'this client doesn't deserve our attention.' One is a business decision. The other is an attitude. The attitude is what ruins reputations.
I've seen small contractors do amazing work because they treated a modest fit-out like a prototype for future work. I've also seen a large firm lose a repeat client because a project coordinator ignored a small request. The client later told me: 'It wasn't the mistake. It was the shrug.' Don't be the person who shrugs.
The Checklist I Use Now
In Q1 2024, after the third avoidable 'small' mistake, I created a pre-project checklist. It has 12 items, but the first three are:
- Name the small things that could fail: access panels, gaskets, sealants, thicknesses.
- Ask who owns the check valve, the literal one and the metaphorical one.
- Write down what the client said they need and what they actually need.
The checklist isn't about being perfect. It's about remembering that every big project is a bunch of small pieces. Gensler company size can't fix a bad detail. A hole in a wall still has to be patched from the right side.
So here's my opinion, stated plainly: small clients are not a distraction. They're not a trial version of a real client. They're clients. If you're in a position to serve them, serve them well. If you're not, say so. But don't make them feel small for asking. That's a choice. And in my experience, it's the only mistake that's truly expensive.
